# Custom Client Portal & Work Order Management System for Agricultural Drone Services ## Project Overview We are looking for an experienced **full-stack developer or development team** to design and build a modern customer portal and internal administration system for an Australian agricultural drone services business. The platform will be used by **farmers, agricultural businesses, councils and commercial clients** to create accounts, submit work orders, request/book jobs, upload property information and maps, track jobs, access quotes, invoices and completed job reports. We will also require a separate **Admin Portal** where our team can manage customers, work orders, bookings, schedules, quotes, jobs, invoices and reports. This needs to be a professional, scalable system — **not simply a WordPress contact/booking form**. ## Customer Portal Customers should be able to: * Register and log into a secure account * Create a company/farm/organisation profile * Add multiple users under one organisation * Add and save multiple properties/sites * Submit new work orders * Enter their own Purchase Order / Work Order number * Request/book drone services * Select service type * Enter hectares/area * Enter preferred service dates * Add site contacts * Enter chemical/fertiliser/product information * Enter application/spreading rates * Add job instructions * Upload photos and documents * Upload property/paddock maps * Upload KML/KMZ and relevant mapping files * View current and previous jobs * Track job status * View upcoming scheduled work * Receive notifications when job status changes * View, accept or decline quotes * View/download invoices * See invoice/payment status * Access completed job/application reports * Contact support through the portal ## Job Status Workflow We would like a clear workflow such as: **Request Submitted → Under Review → Quote Sent → Quote Accepted → Scheduled → In Progress → Completed → Invoiced → Paid** Administrators must be able to change statuses and customers should see relevant updates from their account. ## Mapping / Property Functionality Mapping is an important part of this project. We would like customers to be able to: * Search for their property/location * View satellite imagery * Drop a pin on the property * Draw paddock/working-area boundaries * Automatically calculate hectares from the selected boundary * Save paddocks/properties to their account * Upload existing KML/KMZ mapping files * Attach selected paddocks to a work order Experience with **Google Maps, Mapbox or similar GIS/mapping APIs** would be highly regarded. ## Admin Portal Our staff need a separate administration dashboard where we can: * View incoming work orders * Approve/review job requests * Manage customers and organisations * Manage multiple contacts/users under organisations * Manage properties and paddocks * Create and send quotes * Schedule jobs * Assign operators/teams * View jobs on a calendar * Update job status * Manage services and pricing * Record hectares completed * Record chemicals/products and application rates * Add internal notes * Upload job documents/photos * Generate completion/application reports * Create/manage invoices * Record payment status * View outstanding accounts * Search/filter previous jobs * View basic business reporting ## Customer Dashboard The customer dashboard should provide a simple overview showing: * Active Jobs * Upcoming Jobs * Completed Jobs * Outstanding Invoices * Recent Work Orders * Upcoming Schedule * Account Status * Quick button to Book/Request a New Job The interface needs to be **clean, modern, fast and extremely easy to use on desktop, tablet and mobile**. ## Job Completion Reports Once a job is completed, we want the ability to generate a professional report containing information such as: * Customer * Property/site * Work order number * Date * Operator * Drone/equipment * Service performed * Total hectares completed * Product/chemical/fertiliser * Application rate * Weather information * Job notes * Before/after photos where applicable * Application/flight map where available Customers should be able to download completed reports from their account. ## Invoicing & Accounts Each organisation may have different payment terms such as: **7 Days / 14 Days / 30 Days** Customers should be able to see their invoices, due dates, outstanding balance and payment status. Ideally the system should be designed so that accounting software/API integration can be added. Experience integrating platforms such as **Xero** would be beneficial. ## Notifications We would like the ability to send automated email notifications for events such as: * Work order received * Quote available * Quote accepted * Job scheduled * Schedule changed * Job completed * Invoice issued * Invoice overdue SMS notification integration may also be required. ## User Permissions The system should support different permissions. For example, a commercial organisation may have: **Administrator** – Full company account access **Operations Manager** – Jobs/work orders **Site Manager** – Assigned properties/jobs **Accounts** – Quotes/invoices/payments only ## Technical Requirements We are open to recommendations regarding the technology stack. The successful developer should have experience with: * Full-stack web application development * Secure authentication * Role-based permissions * SaaS/customer portals * Database architecture * REST APIs/API integrations * Mapping/GIS functionality * File uploads/storage * Responsive/mobile-first UI * Automated emails * PDF/document generation * Security and backups The system should be built with clean, maintainable code and structured so additional functionality can be introduced later. ## Future Development We want this platform to grow with the business. Future features may include: * Automated pricing based on hectares * Travel calculations * Weather API integration * Drone/operator scheduling * Customer online payments * Xero integration * SM
